Tour & Activity Plans are Back Online

The new ONLINE Tour and Activity Plan has replaced the old Tour Plan.

TAP LinkRegistered leaders are now able to submit their Tour and Activity Plans online by going to www.MyScouting.org and selecting Tour and Activity Plan from the menu on the left hand side (see the image to the right).

With this new system up and running, the paper tour plans are no longer used. While the council will accept the paper forms during the month of May, all units should be using the online system.

Prior to a Tour and Activity Plan beeing entered, be sure that all of the red and yellow shaded items are addressed. Once these items have been cleared, your Tour and Activity Plan is complete. It will be reviewed at the council office, but unless you are contacted about your plan, you are done.

Common Mistakes and Misconceptions

  • In order to create a Tour and Activity Plan (TAP) you must be a registered member of your unit. Also, your MyScouting profile must have your person ID and council entered. This may be entered by clicking the Update Profile link in MyScouting.
  • Be sure that all registered members of your unit have entered their person IDs and council so their training will show up in ScoutNET.
  • Remember that the unit is responsible for having a complete TAP. While it is reviewed at the council office, the expectation is that when you submit the plan with any revisions or updates, it is complete.
  • Your plan is considered complete when it is submitted. Unless you hear from the council office, it is approved when submitted.

Here is the definition of the tour plan in the Language of Scouting: "Units complete this form when planning for local, national, or international adventure. The plan helps ensure the unit is properly prepared, that qualified and trained leadership is in place, and that the right equipment is available for the adventure."

Tour & Activity Plan Policy and Procedure

Effective: May 10, 2012

Units complete the Tour and Activity Plan when planning for local, national, or international adventure. The plan helps ensure the unit is properly prepared, that qualified and trained leadership is in place, and that the right equipment is available for the adventure. The online Tour and Activity Plan submission process is the expected method for Great Lakes Council (GLC) units to submit their plans for review.

A tour plan must be submitted if:

  1. The event is held outside the boundaries of GLC, (Wayne, Oakland and Macomb Counties).
    1. A Tour and Activity Plan is not required If your unit is attending a GLC camp
      1. D-bar-A Scout Ranch
      2. Cole Canoe Base
      3. Camp Agawam
      4. Lost Lake Scout Reservation
  2. The unit is attending an event not conducted by GLC, regardless of location.
  3. The trip is of 500 miles or more
  4. The trip is to any national high-adventure base, national Scout jamboree, National Order of the Arrow Conference, or regionally sponsored event
  5. The unit is conducting the following activities outside of council or district events:
    1. Aquatics activities (swimming, boating, floating, scuba, etc.)
    2. Climbing and rappelling
    3. Orientation flights (process flying plan)
    4. Shooting sports
    5. Any activities involving motorized vehicles as part of the program (snowmobiles, boating, etc.)

Submitting a Tour Plan and Processing Time

Please allow 21 days for review of your Tour and Activity Plan

Tour and Activity Plans submitted without complete information may not be approved. As stated above the online Tour and Activity Plan submission process is the expected method for GLC units to submit their plans for review. The link for online submissions is found on the MyScouting.org page under Unit Tools. Questions or problems accessing the MyScouting.org site should be directed to the National Help Desk at 972.580.2267.

Sending in your tour plan on the day of departure is risky; it does not afford enough time to correct errors and may result in your trip being delayed due to an unapproved tour plan.

Once your Tour and Activity Plan has been completed online, with any red and yellow shaded items cleared, your Plan is considered approved UNLESS YOU ARE CONTACTED BY THE GLC OFFICE.
